The processing of this personal data allows us to keep our accounts and comply with our accounting obligations (including the preparation of accounting documents, financial statements, taxes, prepayments, expense reports) and invoice our products and services.

D. ACCESS CONTROL

For the purpose of ensuring security on our premises, we may process your personal identification information (name, e-mail address), information about your occupation and job (position and company name) and your time of attendance.

The processing of this personal data allows us to ensure security in our buildings by recording access and keeping a record of those present in our buildings.

The legal basis for processing personal data is based on our legitimate interest to ensure security on our premises (Art. 6.1 (f) GDPR).

We obtain this personal data directly from you when you register for admission at our reception desk.

For the purpose of monitoring security on our premises, we keep your personal data for up to 1 month after the personal data is recorded, unless it needs to be kept longer as evidence of a specific crime or claim or for identifying a potential perpetrator, victim or witness (plus a 2-week verification period).

We only share this personal data with third parties on a "need to know" basis, including possible transfers to the police, judicial authorities and fire departments. E. CAMERA SURVEILLANCE

Our buildings (including the factory) are equipped with camera surveillance. When you visit our buildings, these cameras capture your images, as well as the location, date and time of your presence.

The processing of this personal data allows us to ensure security on our premises and prevent thefts and to handle crimes, conflicts, damages and other incidents.

We obtain this personal data directly from you. The camera surveillance is clearly indicated at the entrance of our buildings with the well-known pictogram.

To monitor security on our premises, we keep your personal data (including camera footage) for up to 1 month after the personal data is recorded, unless it needs to be kept longer as evidence of an actual crime or claim or to identify a potential perpetrator, victim or witness (plus a 2-week verification period).

We only share this personal data with third parties with whom we cooperate for the above purposes (security consultants) and on a "need to know" basis with police and judicial authorities. A. ADVERTISEMENT

For the purpose of hiring new employees, we may process your personal identification data (name, address, e-mail address, phone number), personal characteristics (date of birth, gender, language), information about your family composition, leisure activities and interests, information about your education and training (diploma, certificates), information about your profession and job (professional experience, position, incl. reference checks) and any other information you communicate or provide to us during the application process.

The processing of this personal data allows us to fill open positions (including reference checks) for the purpose of hiring employees and to maintain a talent database of potential candidates ("talent database").

The legal basis for processing these personal data is based on the conclusion of an employment and service agreement with you (Art. 6.1 (f) GDPR). For reference checks and the maintenance of a talent database, the processing of these personal data is based on your consent (Art. 6.1 (a) GDPR).

We obtain this personal data directly from you and/or through a third party (e.g., temp agencies, recruiting firms, through references).

For recruitment purposes, we will keep your personal data until the conclusion of the application process (plus a 1-year verification period). Only if you have given your consent at the time of your application, we will contact you for new vacancies for a period of 1 year after receiving your data (plus a verification period of 1 year). You can, of course, withdraw your consent at any time (for more information, see RIGHTS).

We only share this personal data with recruitment agencies on a "need to know" basis. In addition, we share this personal data with third parties with whom we work for the storage and management of your data (IT and software providers).

B. DISPUTE MANAGEMENT

For the purpose of managing possible disputes, we may process your personal identification data (name, (business) address, e-mail address, telephone number) and any other information relevant to the management of a (possible) dispute.

The processing of this personal data allows us to defend our legal interests in all forms of dispute resolution.

The legal basis for processing this personal data is based on our legitimate interest to safeguard our (contractual and extra-contractual, legal and other) rights (Art. 6.1 (f) GDPR).

We obtain this personal data either directly from you or indirectly from third parties.

For purposes of our dispute management, we will retain your personal data for up to 5 years after the expiration of the last deadline to appeal (longer if necessary, e.g., to comply with legal obligations) (plus a 1-year verification period).

We only share this personal data with third parties on a "need to know" basis, including government agencies and judicial authorities (i.e. courts and tribunals, bailiffs, prosecutors and police), banks and insurance companies, our accounting and law firms, and collection agencies. In addition, our IT and software providers also have access to this personal data.

III. SECURITY

We have implemented appropriate technical and organizational measures to ensure the confidentiality of your personal data and to protect your data from accidental or unlawful destruction, loss, alteration, unauthorized disclosure or access.

We have made the necessary contractual arrangements with the third parties with whom we work and do not transfer your personal data outside the European Economic Area without the guarantee that your data also enjoys an equivalent level of protection there.

For identification purposes, we may ask you for a copy of the front of your identity card. As a supplier of Aminolabs, we may process your personal data for one or more of the following purposes:

A. SUPPLIER MANAGEMENT

As a (contact person of a) (potential) supplier at Aminolabs, we may process your personal identification data (name, (business) address, e-mail address, phone number), identification data issued by the government (company number, VAT number) and any other information that you communicate to us or that is relevant in the context of the supplier relationship (e.g. information regarding your profession or job).

The processing of this personal data allows us to organize administration with our suppliers, including smooth correspondence with our suppliers, concluding and executing a supplier agreement, following up on our orders, organizing our invoicing.

In case of a (contact person of a) professional supplier, the legal basis for processing personal data is based on our legitimate interest to follow up on our orders (Art. 6.1 (f) GDPR).

We obtain this personal data directly from you.

For our supplier management, we keep your personal data for 10 years after your last order or contact with you (plus a 1-year verification period).

Aminolabs Deutschland GmbH is co-responsible for the processing of your personal data within the framework of purposes of R&D and logistics. If you have further questions about this, you can always contact us using the contact details listed under IDENTITY AND CONTACT DATA.

We only share your personal data with third parties with whom we cooperate in the context of our supplier management (IT and software providers, accounting and law firms, and possible courier services).

B. FINANCE AND ACCOUNTING

For the purpose of our billing and accounting, we may process your personal identification data (name, (business) address, e-mail address, phone number), identification data issued by the government (company number, VAT number), financial data (bank account number, method of payment) and a summary of services rendered.

The processing of this personal data allows us to keep our accounts and comply with our accounting obligations (including the preparation of accounting documents, financial statements, taxes, prepayments, expense reports) and invoice our products and services.

The legal basis for the processing of these personal data is based on the various legal obligations as stipulated in the Economic Law Code, the Companies and Associations Code, the Royal Decree implementing this law and the Income Tax Code (art. 6.1 (c) GDPR) and - insofar as the processing goes beyond what is strictly necessary for the fulfillment of these legal obligations - our legitimate interest (art. 6.1 (f) GDPR).

We obtain this personal data directly from you.

For our billing and accounting purposes, we keep your personal data for up to 10 years after the respective financial year (plus a 1-year verification period).

We only share this personal data with third parties on a "need to know" basis, including government agencies, social security authorities, banks and insurance companies, our accounting and law firm. In addition, our IT and software providers also have access to this personal data.

C. ACCESS CONTROL

For the purpose of ensuring security on our premises, we may process your personal identification information (name, e-mail address), information about your occupation and job (position and company name) and your time of attendance.

The processing of this personal data allows us to ensure security in our buildings by recording access and keeping a record of those present in our buildings.

The legal basis for processing personal data is based on our legitimate interest to ensure security on our premises (Art. 6.1 (f) GDPR).

We obtain this personal data directly from you when you register for admission at our reception desk.

For the purpose of monitoring security on our premises, we keep your personal data for up to 1 month after the personal data is recorded, unless it needs to be kept longer as evidence of a specific crime or claim or for identifying a potential perpetrator, victim or witness (plus a 2-week verification period).

We only share this personal data with third parties on a "need to know" basis, including possible transfers to the police, judicial authorities and fire departments. In addition, third parties with whom we work to store and manage our data also have access to this personal data (IT and software providers).

D. CAMERA SURVEILLANCE

Our buildings (including the factory) are equipped with camera surveillance. When you visit our buildings, these cameras capture your images, as well as the location, date and time of your presence.

The processing of this personal data allows us to ensure security on our premises and prevent thefts and to handle crimes, conflicts, damages and other incidents.

The legal basis for processing personal data is based on our legitimate interest to ensure security on our premises (Art. 6.1 (f) GDPR).

We obtain this personal data directly from you. The camera surveillance is clearly indicated at the entrance of our buildings with the well-known pictogram.

To monitor security on our premises, we keep your personal data (including camera footage) for up to 1 month after the personal data is recorded, unless it needs to be kept longer as evidence of an actual crime or claim or to identify a potential perpetrator, victim or witness (plus a 2-week verification period).

We only share this personal data with third parties with whom we cooperate for the above purposes (security consultants) and on a "need to know" basis with police and judicial authorities. In the event of a claim, the images may also be passed on to our insurer, law firms, experts or other involved parties. In addition, third parties with whom we cooperate for the storage and management of our data also have access to this personal data (IT and software providers).
